You have the lesson outline, the staff email, and the workshop notes. They’re just
in three different places.

An AI conversation can help you make sense of those materials—but only if it has
the right information. That’s where [Gemini’s](https://teachercast.net/tag/google-gemini/)
Connected Apps can help. Instead of copying everything into a chat, you can ask
Gemini to retrieve information from a supported service you’ve connected, or carry
out a supported action there.

During a recent workshop with the GEG Instructional Coaches group, I demonstrated
connecting [Gemini](https://teachercast.net/tag/google-gemini/) to [Canva](https://teachercast.net/tag/canva/)
to create a graphic. The coaches wanted to know more. Before we get to that walkthrough,
there’s an important first question: which connections can you actually use with
your account?

## What are Gemini connectors?

Google generally calls these integrations [**Connected Apps**](https://support.google.com/gemini/answer/15229592).
You may also hear people call them connectors.

A connected app lets Gemini interact with a particular service, within that connection’s
permissions and capabilities. That might mean finding a document in [Google Drive](https://teachercast.net/tag/google-drive/),
checking information in [Google Classroom](https://teachercast.net/tag/google-classroom/),
or creating a design through [Canva](https://teachercast.net/tag/canva/).

The connection is not a promise that Gemini can do everything the other app can
do. Reading information, drafting a response, and changing something in an app are
different capabilities.

You may also hear **MCP**, short for Model Context Protocol. It’s a standard used
by tools such as Canva’s AI Connector to connect AI assistants to supported actions.
You don’t need to install a developer tool or configure an MCP server to follow
the built-in Connected Apps examples in this guide. Not every Google connection
needs to be explained as an MCP connection.

## Which version of Gemini should teachers use?

For this guide, start with **the standalone Gemini web app at **[**gemini.google.com**](http://gemini.google.com/),
in an ordinary text conversation on a computer.

That is different from the Gemini side panel inside [Google Docs](https://teachercast.net/tag/google-docs/)
or [Gmail](https://teachercast.net/tag/gmail/). It is also different from [Gemini](https://teachercast.net/tag/google-gemini/)
CLI, a developer tool. Instructions for one interface do not automatically apply
to another.

The Google account you use to sign in matters more here than the name of the model
you choose. A personal Gmail account and a district-managed Google Workspace for
Education account can show different connected apps.

Start in an ordinary chat rather than a Gem or Live conversation. Google specifically
excludes the Classroom and Canva connections from some of those experiences.

## Are Connected Apps available with EDU accounts?

**Some are. Not all of them are.**

Google’s Education comparison lists access to Google Workspace app connections for
Education Fundamentals, Education Standard, and Education Plus. A paid Google AI
Pro for Education upgrade is not the starting requirement for every Workspace connection.
Your district’s settings and the requirements of each connected app still apply.

| Connection | Can you use it with a school Google account? | What to check first |
| Google Workspace services, such as Drive and Gmail | Supported on qualifying accounts | Your administrator must allow connected apps and the required activity settings; individual services must be available. |
| Google Classroom | Supported for eligible work/school accounts, not personal Google accounts | Your administrator must designate you as 18 or older, allow Classroom access, and enable the required activity settings. Currently English only. |
| Canva in Gemini | Currently not supported when signed in to Gemini with a work/school Google account | Google documents a personal Google account requirement. Having Canva for Education does not remove that Gemini sign-in restriction. |

An administrator can help with supported school-account connections. An admin setting
does not turn a personal-account-only connection into a school-account feature.

These are teacher-facing examples. Do not assume that students have the same eligibility
or permissions.

## Try your first connection with a practice document

Use a non-sensitive document and follow your district’s AI policy. The following
is a practice activity, not a report of a tested classroom result.

![gemini connected apps 5 step practice blog inline 1280x720 1](https://i0.wp.com/

### 1. Prepare a simple source

In an approved school Drive account, create a practice document titled **Practice
Workshop Outline**. Add a few generic lines:

 * Topic: giving useful feedback in Google Docs.
 * Audience: teachers.
 * Activities: model a comment, revise a paragraph, discuss the revision.
 * Materials: a sample paragraph with no student information.

Keep it intentionally small so you can check whether Gemini found the right source.

### 2. Open Gemini with that same school account

Go to [gemini.google.com](http://gemini.google.com/). Check the account you’re signed
into before continuing. Gemini must be using the account that has access to the
document.

### 3. Select the source app

In the prompt box, type **@** and select **Google Drive** if it appears. Ask:

> Find the document titled “Practice Workshop Outline” in my Google Drive. Summarize
> its workshop goal, activities, and materials in three bullets. If you cannot find
> the document, tell me rather than inventing its contents.

Use the document’s title and distinctive words rather than relying on a pasted document
URL. Google recommends identifying Workspace content by keywords and service.

On an eligible school account, an administrator-enabled app can be used automatically.
If access is unavailable, stop and check with your administrator rather than switching
school content to a personal account.

### 4. Check the source before using the answer

Open the source Gemini provides. Confirm the document title and compare the answer
with the actual text. Google warns that Gemini can return outdated information or
make mistakes.

If it retrieved the wrong file, make your request more specific. A plausible summary
is not proof that it used the right document.

### 5. Ask for one useful transformation

In the same chat, try:

> Using only that outline, suggest three questions teachers could discuss after
> the revision activity. Put the questions here in the chat; do not change the source
> document.

Now the connection has a clear job: retrieve your source, then help you work with
it. Review the questions yourself before using them.

## Classroom and coaching examples to adapt

These are suggested uses, not measured time-saving claims. Each depends on an available,
approved connection.

| Repeated task | Connection to try | Sample request | Human check |
| Finding the useful part of a planning document | Google Drive | Find “Practice Workshop Outline” and list the materials I need. | Confirm the file and materials against the original. |
| Turning an approved staff update into a checklist | Gmail | Find the latest staff email about the professional learning day and summarize the preparation tasks. | Check the sender, date, and full email; avoid sensitive messages. |
| Checking upcoming class work | Google Classroom | @Classroom, list assignments due this week in my practice class. Include titles and due dates. | Check the actual class and dates in Classroom. |
| Preparing a generic teaching visual | Canva, using an eligible personal-account setup | Create a classroom reminder graphic with the exact wording I provide. | Review the design, permissions, and whether personal-account use is appropriate. |

The potential benefit is less searching and copy-and-paste—not a guaranteed number
of minutes saved. Start with one repeated task and judge whether the connection
actually makes it easier.

## Know what the connections cannot do

Google’s school-account documentation lists meaningful limits. For example, the
Drive connection does not organize your folders or move files. The Gmail connection
does not directly create an email draft in Gmail. You can ask for wording in the
conversation, but that is not the same as a saved Gmail draft.

![gemini connected apps school account limits blog inline 1280x720 2](https://i0.
wp.com/teachercast.net/wp-content/uploads/2026/11/gemini-connected-apps-school-account-
limits-blog-inline-1280x720-2.webp?resize=1200%2C675&ssl=1 "gemini connected apps
school account limits blog inline 1280x720 2")

The Classroom connection does not enter grades or directly publish assignments and
announcements. Treat any proposed communications or teaching materials as drafts
for review, not automatic classroom actions.

## What if an app is missing?

Check these in order:

 1. Are you in the standalone Gemini web app, signed into the intended account?
 2. Does the connected app support that account type?
 3. Does your account meet its age, language, region, and edition requirements?
 4. Has your administrator enabled the app and required activity settings?
 5. Did you explicitly select or name the source app in the new conversation?

Here is a concise question to send your technology team:

> Can you confirm whether my school account is eligible to use Google Workspace
> Connected Apps in the standalone Gemini app, whether access and the required activity
> settings are enabled, and whether Classroom is available for my account? I want
> to test with a non-sensitive practice document first.

## Start with one source and one question

You do not need to connect every app or redesign your planning workflow. Choose
one non-sensitive source, ask one specific question, and check the result.

Once that makes sense, the next example is more visual: using Gemini’s Canva connection
to create and refine a graphic. The account requirements are different, so check
those before trying it.
